GRM International is seeking applications for a Program Operations Manager II. The position will support GRM Project(s) through providing scheduling, operational, financial and compliance support for assigned international projects to ensure cost effective, timely and specification compliant project delivery.

Your primary responsibilities will revolve around Program Operations Management coordination and in particular you will be expected to:


  •     Participate in the development and maintenance of project workplans;
  •     Support project advocacy on behalf of the Company with clients and stakeholders;
  •     Create and maintain project management files (including deliverables, contracting and purchasing documentation, employment documentation, expense documentation, partner engagement documentation, field timesheets);
  •     Update and ensure the accuracy of project data in corporate databases (e.g.Sharepoint, NEMO );
  •     Update and ensure the accuracy of financial tracking tools;
  •     Review and validate expense codes of field vouchers and all other project expenses ensuring expenses are tracking to forecast;
  •     Provide support in scheduling and logistics for Internal Project Reviews;
  •     Perform meeting logistics and record minutes and action items;
  •     Review invoices and ensure that errors are detected and corrected;
  •     Ensure that expense advances and related financial documents are processed in a timely manner;
  •     Monitor and report status of partner budgets/invoicing and grants on a monthly basis;
  •     Facilitate and monitor field office leases and ensure that appropriate approvals are in place;
  •     Ensure that Project Operations Manual is available and distributed to appropriate staff;
  •     Prepare contract action requests (e.g. travel, personnel additions/changes, partner, grant, budget realignment) timely and accurately;
  •     Maintain Biodata forms for all project staff;
  •     Participate in proposal development as needed.

Minimum education and experience required:
  •     Relevant bachelor’s degree
  •     Minimum of 5 years relevant work experience
  •     Minimum of 3 years of DFID/AusAID or USAID project management experience
  •     Minimum of 2 years of experience in a developing country or similar environment

Key competencies and professional expertise required:
  •     Proven ability to develop and administer budget, schedule and performance requirements
  •     Excellent written and verbal communication skills
  •     Strong technical writing skills
  •     Well developed and highly effective organisational skills and attention to details
  •     Ability to thrive under pressure and balance several competing projects at once
  •     Financial acumen and the ability to interpret financial reports
  •     Sound problem solving and decision making skills
  •     Excellent skills in Microsoft Office – Excel, Powerpoint Presentations and Word
